Reduce Image Size Using Paint

Created by Gregory Boyle, Modified on Thu, 24 Sep at 3:43 PM by Gregory Boyle

  1. Right-click the image in Windows File Explorer and select Open with > Paint.
  2. Click Resize on the toolbar.
  3. Select Pixels.
  4. Ensure Maintain aspect ratio is ticked.
  5. Reduce the horizontal size:
    • 1920px → 1400px for most documents.
    • 1920px → 1200px for smaller screenshots.
  6. Click OK.
  7. Save the image (preferably as a copy).
  8. Insert the resized image into Word.

Why This Works

A full-screen screenshot (1920×1080) contains over 2 million pixels. Most Word documents are viewed on-screen, where images are rarely displayed at full resolution. Reducing the dimensions before insertion can significantly reduce the document size with little visible impact.
