Purpose

Converting a Microsoft Word document to PDF helps preserve formatting and ensures the document displays consistently across devices. Adjusting the PDF quality settings can also reduce file size, making documents easier to upload and view within Freshdesk articles and attachments.

Steps

  1. Open the completed document in Microsoft Word.

  2. Select File > Save As.

  3. Choose the location where you want to save the PDF.

  4. In the Save as type dropdown, select PDF (*.pdf).

  5. Select More options if available.

  6. Click Options... and review any required settings.

  7. Under Optimize for, choose one of the following:

    • Standard (publishing online and printing) for the best quality.
    • Minimum size (publishing online) to reduce file size for easier uploading.
  8. Select Save to create the PDF.

  9. Open the PDF to verify the content, formatting, and image quality.

Expected Result

The Word document is successfully converted to a PDF file. The PDF retains the document's formatting and uses the selected quality setting, helping to balance visual quality and file size for sharing or uploading to Freshdesk.
